Call to order: 12:10 PM
1. Issue: Proposal to amend Pride Week budget – Shannon moved that:
The board should accept and approve the proposed revised Pride Week budget presented by Robert Kinports and Ryan Miller (which would bring a special guest - a famous female comedian whose name is contractually withheld until June 17, 2005 to the Performing Arts Center) based on the figures and projections presented (attached). This motion is contingent on the promise by Mr. Miller to provide, if needed, a bridge loan to GALA sufficient to cover the projected shortfall in operating expenses through the month of July as indicated in “Cash Flow Projections,” Attachment 1. The request to authorize Robert Kinports to sign contracts within the approved budget is not included in this motion and will be considered separately at a later date. Stuart 2nd.
Discussion included the following issues:
Advertising budget – the $500 listed in the addendum to the budget is in addition to the total ad budget for Pride.
Details of the contract – The famous female comedian’s reps have indicated they are amenable to changing some of the terms of her contract that GALA finds unacceptable in order to accommodate our small-town venue. Board input is will be sought on these conditions.
Is this too much too fast? – It was generally agreed that this is a major step for the organization with risk attached. The board feels this event will be a positive one for Pride and for the organization, drawing people to SLO for the event and providing high-quality entertainment to our constituents. With the help of Gary Grossman, who has pledged to buy the first 100 tickets and who has donated $10,000 to help underwrite the event; with proper promotion and support by the board; and given the high name recognition and popularity of the famous female comedian in both gay & straight communities, the board believes that break-even is virtually assured and significant profit is likely, which will position us well for the future.
How to manage the projected shortfall? – PAC will not release ticket proceeds until after the event, thus causing a temporary shortfall in operating funds for GALA. Several options were discussed for covering the temporary shortfall. It was agreed that the Visions account, Capital account, and Endowment Fund should not be touched for this purpose.
The motion carried unanimously.
